Visit MediaSaaS App Store to sign up for a free trial (credit card required - no payment will be taken if you cancel before the end of the trial period).

We will send you an Admin user name and password and organisation name by email. You will then be able to log in (you will be prompted to change your password on first login) and configure other users, upload, share and download files.

Navigate to FileX and enter your user name, password and organisation.

If you are the organisation administrator, you will be sent these details via email by MediaSaaS. If you are a user, your administartor will set you up and these details will be sent to you by email.
Checking 'Remember Me' will remember your detais on your device, and 'Keep Signed In' will automatically log you in on your next visit.

If you forget your password, You can request a reset by clicking on Forgotten password. You will be prompted to enter your user name and organisation. Your password will then be reset and a temporary password will be sent by email. If you forget your user name and/or orgainsation, get in touch with your system adminustrator.

The Home Page will be displayed on log in. The top section provides details of how much space you and your organisation are using, and how much you have uploaded this month. If your organisation uses more than your allocated space or upload for this month, you will not be able to upload any new files until you have deleted files or a new month has rolled over.

The lower section shows notifications, sorted by most recent at the top. Notifications can be cleared by clicking the red cross to the right of each notification.

Notifications include:
  • files that have been shared with you by others within your organisation
  • collections that have been shared with you by other users
  • system messages from your organisation's administrator
Where another user has shared a file or collection with you, clicking on that notification will take you directly to that file or collection
The homepage can be reached at any time by clicking on the Home button on the top menu bar. This will also update your stats and any notifications received.

The Upload page can be reached by clicking on 'Upload' on the top menu.

Add new files to be uploaded by clicking the 'Add Queue' button. You will be presented with a dialogue to select files from your device. You may select one or more files for upload. When done, these files will be added to the queue, and the queue will either start to process files in the order that you selected, or add the new files to the bottom of the queue.

The upload queue will show upload progress, with the current file being uploaded counting up from 0% to 100%. When a file completes upload, the queue will automatically move on to the next file in the queue.

Files in the the queue can be cancelled (if already being uploaded) or removed from the queue.

If you have already uploaded a file with the same name, you will be prompted to choose whether the new file is appended with underscore and an incrementing number (e.g. myfile_1.mp4 - defualt option) or replace the existing file (check the overwrite checkbox). Click Submit when you have make a decision for all files. Note that if you overwrite existing files, this cannot be undone unless you re-upload the original file
The complete queue will show files that have completed upload in the last five minutes. Clicking on completed files will take you to that file

Checking the 'Assign Users on Upload' checkbox will open a dialogue allowing you to choose users and groups that automatically get assigned the newly uploaded files on completion. Close this dialogue once users and groups have been selected. Note that groups of users can only be created by organisation administrators
Checking the 'Assign Collections on Upload' checkbox will open a dialogue allowing you to choose collections that automatically get assigned the newly uploaded files on completion. Close this dialogue once colelctions have been selected. You can create a new collection from this dialogue if required by clicking the 'Add' button
You can leave the upload queue running while navigating to other functions within FileX. However navigating away from FileX, closing or refreshing your web browser will terminate upload of files.

The Files page is where you can see your uploaded files, files that have been shared with you by other members of your organisation, your collections of files and collections that have been shared with you by other members of your organisation.

The main pane menu bar at the top allows you to switch between the four views:
  • My files: where files you have uploaded are listed
  • Others files: where files shared by others within your organisation are listed
  • My Collections: where collections of files you have created are listed
  • Others Collections: where collections shared by others within your organisation are listed
In all cases, you can filter the results by typing in part of the name of the file or collection (e.g. typing GOPR would return GOPR4796.mp4, GOPR5321.mp4 and Argopra_small.mp4). The filter is case insensitive, meaning either upper or lowercase queries will return both upper and lowercase matching results. Clicking on the red cross to the right of the filter box will clear the filter.

The 'Order By' select box will sort results by either name (A-Z) or reverse name (Z-A) for both files and collections, and newest (most recent upload), oldest, largest and smallest file sizes for files.

Clicking anywhere on a file or collection card will select it and display relevant details at the bottom on the page. Checking the checkbox on the bottom right of multiple cards will display details relevant for all cards. Clicking 'Select all' at the top of the page will select all cards that match the filter result (or all cards if no filter is applied)

Three tabs will be displayed:
  • Details: Where file size, creation date, download count, and assignment counts for users, groups and collections are displayed. Selected files can be downloaded, a 'quick link' generated or deleted
  • Sharing: Where selected files can be shared or unshared with users or groups
  • Collections: Where selected files can be added or removed from collections of files
Clicking on download will start download of that file to your browsers default download location.
Clicking on Quick Link will bring up the quick link dialogue. Quick links are secure links that you can share with anyone (even if they don't have a FileX account) via email, instant messaging apps etc. In the quicklink dialogue, choose how long you want the quicklink to be valid for (in hours) and then click generate. The quicklink generated is unique and will automatically expire after the selected time. Copy the quicklink and then send it by the method of your choice.
Clicking on Delete will bring up the delete files dialogue
The sharing tab allows selected files to be shared with users and groups of users. Assign and unassign files to users and groups of users by checking the user or group name from the list. Note that groups of users can only be created by organisation admins. When multiple files are selected, checking or unchecking a user or group will assign or unassign all files selected to that user or group.
If some selected files have been assigned to a user of group, and some selected files have not been assigned to a user or group, the checkbox will be filled blue, but with no check mark

The Collections tab allows selected files to be added or removed from a collection of files. Assign and unassign files to collections by checking the collection name from the list. You can add a new colelct ion by clicking the 'Add' button and following the dialogue. When multiple files are selected, checking or unchecking a collection will assign or unassign all files selected to that user or group.
If some selected files have been assigned to collection, and some selected files have not been assigned to a collection, the checkbox will be filled blue, but with no check mark

Files shared by others will be displayed in this tab. Selecting a file will allow you to see file size, when the file was uploaded, download count and how many users, groups and collections this file is assigned to. You can download the file by clicking the download button

Selecting a collection will show details for that collection. Clicking Delete will show a dialogue allowing you to delete selected collections.

The sharing tab allows selected collections to be shared with users and groups of users. Assign and unassign collections to users and groups of users by checking the user or group name from the list. Note that groups of users can only be created by organisation admins. When multiple collections are selected, checking or unchecking a user or group will assign or unassign all files selected to that user or group.
If some selected collections have been assigned to a user, and some selected collections have not been assigned to a user, the checkbox will be filled blue, but with no check mark.

The Files tab shows files that are in the selected collection. Files can be downloaded or removed from the collection. By clicking remove only removes files from the selected collections - it does not delete the file.

Selecting a collection will display files that are part of the collection shared by others. You can choose to download individual files from that collection.

The account tab allows has four tabs as follows:

Details: Shows which organisation and groups you are a member of

Password: Allows you to reset your password. You will be logged out and need to enter your new password when you reset.

Log and issue/query: A form to let us have some feedback on an issue you encountered or raise a query. We aim to respond to you withing 2 working days, faster for critical issues

Settings: Choose if you get a copy of all notifications as seen on the Home page sent via email. Note that system messages such as password reset requests will continue to be sent by email whether this is checked or not. Choose a colour theme from default (light) or dark.

The Admin page is where organisation admins can manage users and groups, monitor usage and delete large files, and send system messages to users

  • Usage: here a view of overall storage usage can be seen. Largest files are listed here and can be deleted if desired

To add a new user, click on the Add button at the top of the page. This will bring up the add user dialogue.
Selecting a user will display details in the bottom pane. Details can be modified and updated as required. The reset password on login checkbox will force users to reset their password on next login. New complex passwords can be generated using the Generate button. Delete will bring up the delete user dialogue.
The groups tab allows selected users to be assigned to groups of users.
The Files tab shows the user's files. These can be sorted by name, size and date uploaded. Checking the relevant checkbox by each file then clicking Delete will bring up the delete files dialogue. It is worth sending users a message if you have deleted their files on their behalf!

To add a new group, click the Add button at the top of the page. This will bring up the add group dialogue.
Selecting a group will display details in the bottom pane. Clicking Delete will bring up the delete group dialogue.
Selecting the Users Tab allows users to be assigned or unassigned from the selected group or groups

The Usage tab displays a graph showing the users using most file space and most upload this month. Previous months can be selected if required. A CSV report file can be downloaded giving a full list of all users files and status. The bottom pane shows the top 10 largest files currently stored, and allows them to be deleted if required.

The Message tab allows organisation admins to send messages to all users in their organisation, or to individual users. Complete the message in the relevant text box, select the user to send to, and click Send. the message will be displayed on the user's home page.
